Information we collect
When you contact us or ask us to carry out work, we may collect your name, email address, telephone number, property address or postcode, details of the service required, appointment and job records, correspondence, quotations, invoices and payment-administration records. We may also receive limited technical and security information produced when the website is delivered to your device.
When you submit the website enquiry form, the details are securely passed to our form-delivery provider, FormSubmit, so the enquiry can be delivered to Tri-Serve by email. FormSubmit may retain a submission for up to 30 days for delivery and anti-abuse purposes. Tri-Serve does not maintain a separate website enquiry database.
Why we use it
We use personal information to respond to enquiries, take steps before entering into a contract, provide quotations, arrange and deliver services, manage customer relationships and payments, keep appropriate business and safety records, prevent misuse of the website and meet legal obligations.
Our lawful bases are usually taking steps at your request before a contract, performing a contract, complying with a legal obligation, and our legitimate interests in running the business, providing customer service and keeping our systems secure. We will ask separately before using your details for optional direct marketing.
Who we share it with
We may share information only where necessary with trusted website hosting, form-delivery, email and IT providers; payment and accounting providers; suppliers or subcontractors involved in the requested work; professional advisers; and public authorities where the law requires it. We do not sell personal information.
International transfers
Some technology providers may process information outside the UK. Where this happens, we require an appropriate UK data-protection safeguard, such as an adequacy regulation or approved contractual protections. You can contact us for more information about the safeguards relevant to your data.
How long we keep it
Enquiries that do not become jobs are normally kept for up to 12 months. Customer, quotation, job, invoice and payment-administration records are normally kept for up to six years after the relationship or transaction ends. Safety or statutory records may be retained for a different period where the law or an applicable scheme requires it. We then delete or anonymise information when it is no longer needed.
Your choices and rights
You may ask for access to your information or request correction, deletion, restriction or transfer where the relevant right applies. You may also object to processing based on legitimate interests and withdraw any consent you have given without affecting earlier lawful processing. We do not use the website to make decisions about you solely by automated means.
We need the contact and job details marked as required to respond to an enquiry. If you do not provide them, we may be unable to prepare a quotation or arrange the requested service.
Complaints
